Submission Guidelines for Burial Data

Authorized representatives of cemeteries may submit burial data for inclusion in this database. In order to avoid confusion and to maintain accuracy, we cannot accept data from those who are not authorized representatives of cemeteries.

From time to time, private groups and individuals offer to survey a cemetery. Before starting a project:

  1. First obtain permission from the cemetery
  2. Contact us as to format, submission, etc.

We will not accept a database unless it is in the proper format. This can be done through our website import process.

Contact us in order to obtain access to the import page. Simply enter "burial import request" in the email subject and provide a brief message identifying the cemetery and yourself. We will respond as soon as possible--it may be a day or two depending on staff circumstances, so please be patient.

Import Process

This import process is intended to handle large groups of records--entire cemetery records, large portions of cemetery records, or major updates of records (usually new burials since the last update).

Corrections of individual burial records must be coordinated through the local cemetery record keeper, where the master record is kept. The record keeper will then notify our office to make the change to the duplicate record that is in our master burial database.

Data must be submitted in comma separated value format. The column layout must be in the following order:

The following validations are performed on the data:
·Required fields have data.
·birth_month between 0 and 12
·birth_day between 0 and 31
·death_month between 0 and 12
·death_day between 0 and 31
·burial_month between 0 and 12
·burial_day between 0 and 31
·columns that should be numeric are either empty or numeric
·Both a relative name and relationship are filled out, or both are empty for a given relative.
·Gender is either blank, “F” or “M”.
·BURIAL_YEAR, BIRTH_YEAR, DEATH_YEAR are either empty or have a 4 digit year between 1700 and the current year.
·If all fields for birth, death or burial dates are filled in and greater than 0, they represent a valid date.
·Text columns are within the required length.
·Relationship is one of:
1: Mother
2: Father
3: Spouse
4: Children
5: Sibling
